Recognition of international academic achievements

If possible, studying abroad should not have the effect of prolonging your studies. The courses at the host university should therefore be selected in such a way that they can also be recognized at ASH Berlin. Before the start of your stay abroad, you will conclude a learning agreement with the host university and ASH Berlin, which regulates which courses you will attend there and which courses will be recognized at ASH Berlin. The exact recognition modalities are also regulated before the start of your stay abroad in the corresponding recognition form.

The following guidelines for recognition apply:

  1. Academic achievements can only be recognized if they can be assigned to the subjects offered at ASH Berlin.
  2. You can only have modules (or individual units) recognized if you already meet the respective module requirements. The module requirements can be found in the respective module handbooks and/or study and examination regulations of your degree program. Example: In the Bachelor of Social Work, there are modules that you can only take if you have already completed 60 ECTS (e.g. "Ethical Foundations of Social Work"). If you do not yet meet this requirement, you will not be able to have modules from partner universities recognized.
  3. Within Europe, the requirements of the European Credit Transfer System (ECTS) apply.

 

Recognition procedure

Here you can find out step by step how you can have your achievements abroad recognized for your studies at ASH Berlin.

  1. Before the start of the semester abroad, you must independently draw up an overview of the courses you would like to attend at the host university (and, if applicable, according to the specifications of the host university) and record these in Table A of the "Learning Agreement Before the mobility".
     
  2. For each course abroad that you would like to have recognized, find the appropriate module at ASH Berlin (use the module handbook of your respective degree program) and clarify with the module coordinatorwhether the content, level and scope of the course at the host university corresponds to the requirements at ASH Berlin. You can do this with the module coordinators using the recognition form in which you describe the course you wish to take at the host university and the examination you wish to have recognized for your studies at ASH Berlin. You must also state on the form the number of ECTS credits that will be awarded there; attach the course or module descriptions of the host university to the form. You will find this information in the module handbook or course catalog/lecture schedule of your host university. The module coordinator will then specify on the recognition form the extent to which the courses you have chosen can be recognized at ASH Berlin and sign the form. You must fill out a separate form for each module in which you wish to have something recognized (if you wish to have two courses recognized for one unit/module, please do this on one form - pay attention here to how the grades or which grade is to be recognized). Please note that the form must be signed by the module supervisor in the original ("wet signature").
     

    Please note: Language courses that are not part of the curriculum of a degree programme at the host university (i.e. courses that are not listed in the curriculum of the host university and are offered, for example, at a continuing education center at the partner university) are not recognized.   3. Once you have all the signatures of the individual module supervisors on the respective recognition forms, submit the recognition form to the International Office of ASH Berlin. The International Office will forward your application for recognition to the Chair of the Examination Board.

The Learning Agreement can only be changed in the first four weeks after the start of studies at the host university. You can find out more about changing your course selection on our website for studying abroad in the section During your stay abroad.

If you change your course selection at the host university at the beginning of your stay abroad and if this also results in changes to the courses to be recognized at ASH Berlin, you are obliged to coordinate this again with the module coordinators.

The procedure is similar to that before your stay abroad: You fill out a recognition form for each new course you wish to have recognized, have the module coordinators sign it and send the documents to the International Office. The International Office then signs and forwards your application for recognition to the chairperson of the examination board.

If you are unable to obtain an original signature on your application for recognition from abroad, you will need to have it added after your return. Alternatively, you can discuss any changes to your recognition requests with the module coordinators by email first and have the original form signed after your stay.

  1. After completing your semester abroad, you will usually be issued with a Transcript of Records directly by the host university (or alternatively Table C in the LearningAgreement - After theMobility). The Transcript of Records is a list of all academic achievements at the host university. You will need an original transcript of records for final recognition. However, as most host universities only send the document by email, the Examinations Office will also accept it if we at the International Office receive the Transcript of Records by email directly from the partner university and we confirm direct receipt with our signature and stamp on the printout. Important: If the Transcript of Records was only sent to you personally, please contact the host university with the request to send the document to studyabroad@ash-berlin.eu.
     
  2. As soon as you and we have received the Transcript of Records from the host university, please contact us directly at the International Office. You can then make an appointment to pick up a printout of your Transcript of Records with our signature and stamp and your original recognition form.
     
  3. For final recognition, you then submit your Transcript of Records (i.e. the printout with our signature and stamp) and the original recognition form to Aida Heshmati (Student Service Center for Credit Transfer and Recognition), where the actual recognition of your achievements and the transfer to the LSF will be carried out.

Please note the applicable deadlines for the recognition of your achievements abroad
November 30 if you were abroad in the previous summer semester.
May 31 if you were abroad in the previous winter semester.

FAQs

A regular semester of study comprises around 30 ECTS credits, which you should also aim to earn abroad. If you receive a scholarship from ASH Berlin (Erasmus+ or PROMOS), you must complete at least15 ECTS credits (or equivalent) at the host university during your stay abroad. However, this does not mean that you must also have 15 ECTS credits recognized - there is no prescribed minimum number for recognition.

If you are spending a semester at a host university abroad, you will know which courses can be recognized at ASH Berlin before you start your semester abroad thanks to the early recognition procedure. If you would like to change courses to be recognized after the start of your semester abroad, this is also possible within the first four weeks after the start of classes on site and with a confirmation from the module coordinator on a new recognition form.

Each course that has been approved on the recognition form by the respective module coordinator and signed by the examination board at the end can be recognized if it was completed abroad in the intended form and confirmed in the transcript of records after completion of the course at the host university.

When planning recognition, please note that you can only have modules (or individual units) recognized if you already meet the respective module requirements. The module requirements can be found in the respective module handbooks and/or study and examination regulations of your degree program. Example: In the Bachelor of Social Work, there are modules that you can only take if you have already completed 60 ECTS (e.g. "Ethical Foundations of Social Work"). If you do not yet meet this requirement, you will not be able to have any modules from partner universities recognized!

There is no general obligation for you to have courses recognized by the host university. If you decide against recognition from the outset, you simply need to confirm this to us informally (by e-mail is sufficient) and briefly explain your reasons - at the same time as you submit your Learning Agreement - Before the Mobility to us. Reasons for non-recognition may be, for example, that you are already so far advanced in your studies that you have no more modules 'left' that can be recognized or that the modules you still have open at ASH Berlin do not match the content of the courses at the host university.

The names of the module coordinators can be found in the overview provided by the Teaching Operations Office (for Faculty 1 and Faculty 2).

As a rule, you will find information and detailed module handbooks and/or a course catalog with course descriptions on the websites of your host university. You are welcome to use the links in the respective info boxes on our website with the overviews of the partner universities from the starting point.

Please note that the course lists, just like at ASH Berlin, may only be published a few weeks before the start of the semester. You should therefore refer to the course lists from previous semesters, especially when preparing your Learning Agreement. You can also ask students who have already studied at your chosen university. Contact can be established via the International Office of ASH Berlin.

The ASH Berlin Examination Board decides on the recognition of study and examination achievements completed abroad.

The Transcript of Records or Table C of the "Learning Agreement - After the mobility" is a list of all academic achievements abroad. It is usually issued directly by the host university and sent to you by e-mail (and often a copy is also sent to us at the International Office). In some cases, the host university will only send the transcript of records to us at the International Office (and not to you) - in this case, we will inform you about this.

Important: for the final recognition at the Examination Office (see above: Recognition procedure > After completion of the semester abroad) you will need an original Transcript of Records. However, as most host universities only send the document by e-mail, the Examinations Office will also accept it, if we at the International Office receive the Transcript of Records by e-mail directly from the partner university and we confirm direct receipt with our signature and stamp on the printout.

Study and examination credits from universities: The external coursework and examinations must have been completed at a recognized university (e.g. our partner universities, otherwise marked H+ at www.anabin.de ).

Compatible coursework and examinations: The external study and examination achievements must come from the range of subjects relevant to your degree program or be closely related to your degree program (this can also include disciplines and scientific fields that are not represented at ASH Berlin with chairs, but are subject-related).

Minimum scope of 2 semester hours per week: A course must comprise at least 2 SWS of attendance time (or a total of 22.5 time hours) in order to be recognized.

Equivalent level of study: The external study and examination achievements must come from courses that correspond to the level at ASH Berlin.

Depending on the study and examination regulations, language courses can also be recognized in principle. For example, language courses are often recognized for the elective module as part of the Bachelor's degree in Social Work. Please note the different procedures for recognition (curricular part of a degree program) and crediting (non-curricular part of a degree program) described above.

The conversion of grades for foreign study and examination achievements is carried out according to the ECTS grade conversion table. If no ECTS grades are stated on the transcripts of records from other universities, these are determined from the national grading systems using the conversion table according to the so-called Bavarian formula by the ASH Berlin Examinations Office.

ECTS credits

In the ECTS program, ECTS points are assigned to the individual courses. These are intended to precisely reflect the academic performance required to successfully participate in a course. The ECTS points not only take into account the time required for participation, but also for the necessary self-study. Students earn ECTS points by successfully completing a course, i.e. by completing the coursework required for the course. According to the ECTS guidelines, the coursework of an academic year corresponds to 60 credit points ("credits"), that of a semester to 30 ECTS credits.

Of course, international coursework completed at host universities abroad that do not use the ECTS system can also be recognized in the same way.

 

Background: The European Credit Transfer System (ECTS)

To promote exchange between universities, the European Commission developed the European Credit Transfer System (ECTS) as a uniform basis for the recognition of academic achievements.

Academic achievements (e.g. courses taken during a year of study abroad) can be easily compared within this system. To ensure this compatibility, the participating institutions must recognize the principle of mutual trust between the participating universities. This principle is reflected in the following ECTS requirements at the individual universities:

  1. the obligation to provide information about the courses offered
  2. the use of ECTS points (credits) to evaluate courses
  3. the conclusion of individual learning agreements between the student, the host university and the home university prior to the study visit
  4. the transfer of credits with the help of the Transcript of Records, which provides the home university with information about the actual academic achievements.
