Before leaving Berlin

Before you leave Berlin at the end of your semester at ASH Berlin, there are some things you need to take care of. You will receive a detailed e-mail at the end of your semester reminding you of the following steps and we will also organise an info meeting for all students.

Individual end-of-semester meeting

Before you leave Berlin, you are required to come to the International Office for an individual end-of-semester meeting where we will ask you for your feedback, sign your leaving certificate if necessary and talk about the organisation of your Transcript of Records.

You can either come by during our office hours or book an appointment online. We will send you the link to the available appointments via e-mail at the end of the semester.

Certificate of stay

Please contact your home university to find out if you need a leaving certificate (also called "certificate of attendance", "confirmation of departure" or "duration sheet"). If you need one, please also ask for the necessary form and bring it to your final meeting with us or come by shortly before you leave (maximum 5 days beforehand) to get it signed. We will confirm the period of your academic stay, so if you've already completed all of your exams, the day we confirm on this form might be an earlier date than the one on which you're actually leaving Berlin.

Transcript of Records/ grades / Scheine

Students can only receive a Transcript of Records if they have completed the de-enrolment process (see further below), which includes a statement from the library that you do not owe them any fees, books or other items. During your final meeting, we will talk about the Transcript of Records in detail. Please fill out the Transcript check list BEFORE you come to the meeting so that the issuing of the transcript will run smoothly. As a general rule, please know that the earlier you hand in your papers or exams, the earlier we will receive your grades and the earlier we can issue your transcript.

Please give your lecturers at least three or four weeks' time to read and mark your paper. Some lecturers are on holidays during the semester break so please talk to your lecturers about your grades early on. The easiest thing to do is to attach a "Scheinformular" to each of your exams or papers and to ask your lecturer to send the grade directly to the Prüfungsamt (examinations office). You can also ask the teacher to fill out your Schein directly and you take it to the examinations office on your own. Simply put the Schein in their mailbox next to room 331. You can get the "Scheinformular" next to our office door (room 345) and find more details in our "How to fill out a Schein" guide. If the ones we have stocked are not for your study programme, just correct it manually on top to your study programme at ASH Berlin.

If you're not taking an exam, you do not need a Schein, since your teachers can simply confirm your participation online via LSF. The only exception are language courses. Here, the teachers also need to complete a Schein to confirm your attendance.

Return your MensaCard

If you have a MensaCard of the studierendenWERK BERLIN, you can return it at the cash desk of the Mensa. If you have any money and/or deposit left on your card, it will be paid back to you in cash.

On 31 March for the winter term or on 30 September for the summer term, we will de-enrol you from ASH Berlin. After that date, you will no longer be able to use your ASH account or any other ASH-services (e.g. Moodle). In order to complete the de-enrolment process, please get the de-enrolment form signed by the library and the Medienbereich to confirm that you do not owe them any fees, books or other items anymore. Once you've got the form signed, please submit it to the International Office.

If you wish to study in Germany again at a later point, you will need a de-enrolment certificate from ASH Berlin. We will issue one for you on demand.

De-registration from the Bürgeramt

Approx. one week before leaving Berlin, you have to de-register from the Bürgeramt. You can do this via regular mail (not e-mail) and send the form to the Bürgeramt where you registered. If you registered via us at the beginning of the semester, the address is Bürgeramt Helle Mitte, Alice-Salomon-Platz 3, 12627 Berlin. If you do not de-register you may risk problems when you enter Germany again at a later point. You'll get the necessary form during the final meeting with us or on the homepage of the Bürgerämter.

If you had to register your apartment for the public broadcasting fee (Rundfunkgebühr), you also need to de-register from that, too. You can do that on the website of the Rundfunkgebühr.
